Working time recording and billing for advice and support
As Vice President Delivery at Movilizer, Stefan Wawrzinek is responsible for the entire Professional Service division. This includes, on the one hand, the consulting projects associated with the use and implementation of the Movilizer platform as well as all support tasks arising as part of the service and support agreed with the customer. Since April 2015, he and his team have been using the ZEP solution - time recording for projects from provantis as a central tool for recording and billing working hours in this context. “Even before deciding to use ZEP, we worked with an appropriate software solution. However, this application focused on invoicing, so the preparatory work required a great deal of manual effort,” Stefan Wawrzinek explains the initial situation.
“ZEP fully covers all of our requirements for recording and billing working hours and travel expenses, so we have been very satisfied with the use of the solution so far. The user-friendliness is very high, which is why acceptance among users was very high right from the start. The manual effort is minimal, so we are satisfied that we have achieved our original goal. ”

He further explains: “In order to relieve our colleagues of this work and achieve a higher level of automation, we decided to look for an alternative. The aim was to automate the entire project controlling process as far as possible. ”
“With the ZEP Salesforce module, we are able to transfer the customer information contained in our Salesforce system to ZEP at the push of a button and assign it to the corresponding projects. This means that further tasks that had previously been carried out manually are no longer necessary. ”

Good experiences make the difference!
The fact that the decision was ultimately made in favour of ZEP — time recording for projects — was due to the good experiences Stefan Wawrzinek had already had with the solution with his previous employer. He remembers: “The company I worked for before joining Movilizer was also active in the software sector and used ZEP. Even back then, the big advantage of ZEP was that the solution was specifically designed for project-oriented companies and thus optimally met the requirements existing in these companies for the various areas of project controlling. For this reason, it was only logical to take advantage of these benefits with Movilizer as well. ”
ZEP — time recording for projects — is a web-based solution that has been successfully on the market since 2000. It offers project-oriented companies in particular a complete solution for the areas of time recording and reporting, travel expenses, project management and controlling, and invoicing. The solution is offered in both cloud computing and on-premise operating models. Movilizer decided to use ZEP in the cloud. “We are providers of a cloud computing platform ourselves and are therefore naturally convinced of the operating model concept. For this reason, even ZEP was only able to decide on the cloud version. The advantages in terms of flexibility and efficiency clearly outweigh the issues of data protection and data security; after all, we also deal with this issue every day in our solutions. ”
Around 50 employees currently use ZEP to record their working hours, travel expenses and vacation planning. In addition, the entire invoicing process is carried out via the solution. If Movilizer employees are on site at the customer's site as part of consulting projects or for support work, they access ZEP via the appropriate apps (Android, iPhone).
Importing data from Salesforce thanks to the ZEP module
The ZEP Salesforce module enables ZEP to be connected to the Salesforce cloud CRM solution and thus supports the automatic transfer of data about customers and contacts from Salesforce to ZEP. “With the ZEP Salesforce module, we are able to transfer the customer information contained in our Salesforce system to ZEP at the push of a button and assign it to the corresponding projects. This means that further tasks that had previously been carried out manually are no longer necessary.”, confirms Stefan Wawrzinek.
